How to collect sizes for a group t-shirt order

Collecting sizes from 50+ people sounds simple until someone submits theirs a week late, another person asks for a different size two days before the deadline, and you realize half your team forgot to fill in the form. Here’s a reliable system that works.

Step 1: Open a Google Form (or any form tool) before you ask anyone

Don’t collect sizes over text or email. Every reply lands in a different thread and you’ll lose track. Instead:

  1. Go to forms.google.com and create a new form.
  2. Add a Short answer field for the person’s name.
  3. Add a Dropdown field for size—options: XS, S, M, L, XL, 2XL, 3XL, 4XL.
  4. Add an optional notes field (“e.g., I usually size up in fitted shirts”).
  5. Set a deadline date visible in the form description—something like “Submit by July 10 or we can’t include you.”

Export responses to a Google Sheet when you’re done. One column per field, one row per person.

Step 2: Share the form with a deadline and one reminder

Send the link once with a clear deadline. Three to four days before the deadline, send one reminder to anyone who hasn’t submitted. Don’t chase people daily—it trains them to wait.

A quick message that works:

“We’re ordering group shirts! Fill out this 30-second form by [DATE] so we can include your size: [LINK]. After that, we can’t guarantee yours will fit.”

The last sentence matters. People respond to FOMO more than politeness.

Step 3: Build your size run from the responses

Once submissions are in, pivot-table your Google Sheet responses into a size breakdown:
